An AI receptionist for multi-site specialty groups
CuraVoice answers the main line for a group with several locations and sends each caller to the right office, provider's team or department on the first try.
What growth does to a phone line
One location with one front desk works. Add a second office, then a fifth, then an acquired practice with its own habits, and the main number becomes a switchboard. Callers sit in a queue to ask a question that belongs to a different office. Front-desk staff transfer calls to colleagues they have never met, using a list that was last updated in the spring. Some of those transfers are picked up and some are not, and nobody is counting.
What CuraVoice does
- Answers every call immediately, however many arrive together.
- Routes by what the caller says. The location, the provider's name, or the reason for the call is enough. No menu to listen through.
- Reads your directory. Locations, providers, departments and extensions come from the list your team keeps. Update the list and the routing follows.
- Introduces the caller. Your staff member hears who is calling and why before the two are connected.
- Sends department calls where they belong. Billing, records, referrals and vendors stop passing through the front desk.
One standard across every location
Every caller hears the same greeting and gets the same handling, whichever office they are trying to reach. Every call is logged with its transcript and outcome, and your managers can compare locations: how many calls each receives, what they are about, and how many transfers each office answers.
What it does not do
It does not write to your EHR or scheduling system, and it does not give medical advice. A caller with a clinical concern is connected to a person.
Common questions
We already have a phone tree. Why add an AI receptionist?
A phone tree makes the caller do the routing: listen to the options, guess which applies, press a key. An AI receptionist lets the caller say what they need in their own words and does the routing for them. It can also route on things a menu cannot, such as the name of a provider or a location.
Does it replace our phone system?
No. You keep your phone system, numbers and extensions. You forward a line or a menu option to the receptionist, and it transfers callers to the extensions and queues you already use.
Can it book appointments?
Not directly in your scheduling system today. It routes scheduling calls to the right location's scheduling desk with a short introduction, so the caller does not have to repeat themselves.
Try it on one location first
A pilot on one office's line shows you real calls and real hand-off numbers before you roll it out.
