How to pilot voice AI on one phone line
The safe way to trial voice AI is to give it a narrow slice of your calls, listen to every one, and widen the slice only when the calls stop surprising you. Here is the sequence.
1. Choose a slice where the alternative is worse
Good first slices are overflow calls that would have waited on hold, after-hours calls that would have gone to voicemail, or one option in your existing phone menu. In each, the AI replaces a poor experience, so even an imperfect first week is an improvement.
2. Write down what a good call looks like
Before the first call, agree in writing where each kind of caller should end up, what the agent must never say, and which situations go straight to a person. This document becomes the test script and settles arguments later.
3. Test with scripted calls before real ones
Run the common conversations and the awkward ones against the agent before any real caller reaches it: the caller who gives no detail, the misheard name, the person who only says "representative". Keep the scripts. You will rerun them after every change.
4. Tell your staff what is coming
The people receiving transfers need to know what they will hear, what to press if anything, and what to do when the agent sends them a call that is not theirs. A pilot fails as often from surprised staff as from a bad agent.
5. Listen to the calls every day
In the first two weeks, someone should read or listen to every call. Look for the caller who was confused, the call routed wrongly, and the transfer nobody answered. Fix those, rerun the scripts, and carry on.
6. Record the baseline
Note the numbers at the start: calls handled, transfers attempted, transfers answered, callers who asked for a person. These first-week figures are the baseline you will compare against later, and the missed transfers will tell you something about your own team you could not see before.
7. Widen when a week passes quietly
When a full week goes by with no surprises in the daily review, add the next slice: another menu option, another location, longer hours. Repeat the review each time you widen.
What to have in place before day one
- A signed agreement covering how call data is handled. In healthcare, a Business Associate Agreement.
- An owner on your side for the routing directory.
- A way to switch the forwarding off in a minute if you need to.
Common questions
What is the safest way to trial an AI receptionist?
Send it a narrow slice of calls first, such as overflow, after-hours or one menu option, while your existing process stays in place for everything else. Review the calls daily and widen the scope gradually.
How long should a voice AI pilot run?
Long enough to see your normal weekly pattern more than once, including your busiest day. Short pilots miss the unusual calls that cause the problems.
Pilot it on your own line
